2. What does this notice cover?

This privacy statement describes why and how we collect and use personal data and provides information about individuals’ rights. It applies to personal data provided to us, both by individuals themselves or by others.

We may use personal data provided to us for any of the purposes described in this privacy statement or as otherwise stated at the point of collection.

3. What is personal data?

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679) (the “GDPR”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

4. What information do we gather?

To be able to provide you with the best service possible, we will need to gather certain personal information from you when you contact or interact with us. We will also use this information for security, identification and verification purposes. We will only ever collect information that helps us provide our services to you.

When you make an enquiry with us about any of the services we offer, we’ll ask you to provide some contact. This may include some or all of the following:
Full name
Current home address
Landline and/or mobile phone number
email address

If you give personal information about someone else (such as a joint applicant), you must have their permission to do so.

If there is a change to any of your personal information and you notify us, we will update your records.

5. How long do we keep your data?

We will keep your information for as long as is needed and only for the following purposes:

a) Legitimate business activities
b) Statutory or legal obligations
c) AML compliance and regulatory purposes

We’ll keep your personal information securely stored for as long as we need it to provide you with the services you want from us.

We also keep it to comply with our legal and regulatory obligations, and also to help us to resolve any issues or disputes that may arise.

6. How do we use your personal information?

Under the GDPR, We must always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to my use of your personal data, or because it is in our legitimate business interests to use it.

We will use it to confirm that you are who you say you are when you contact us. We will use it to verify your name by accepting certified copies of your personal ID and also will confirm your address by recent utility bill copies and/or credit cards/bank statements.

The law requires us to comply with a number of regulations. Where necessary, we use your personal data to allow us to fulfil our legal and regulatory requirements.

If we ever have to use your personal information for any purposes that we haven’t described in this policy, you’ll hear from us. We’ll let you know exactly what we’ll use it for before we go any further and, where appropriate, obtain your consent.

7. What is our legal basis for handling personal information?

Data protection laws require that, to process your personal data, we must meet at least one prescribed basis for it. We rely on the following basis for the activities we carry out.

a) Helping to prevent and detect crime such as fraud and money laundering
b) Complying with legal and regulatory requirements
c) Ongoing service
d) Your rights

8. What are my rights?

Under the GDPR, you have the following rights, which we will always work to uphold:

For more information about my use of your personal data or exercising your rights as outlined above, please contact me using the details provided in Part 11.

Further information about your rights can also be obtained from the Information Commissioner’s Office.

If you have any cause for complaint about my use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office.

9. How can I access my personal data?

If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). There is not normally any charge for a subject access request. If your request is ‘manifestly unfounded or excessive’ (for example, if you make repetitive requests) a fee may be charged to cover my administrative costs in responding.

I will respond to your subject access request within ten working days and, in any case, not more than one month of receiving it. Normally, I aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date I receive your request. You will be kept fully informed of my progress.

Also, it does not cover certain pages and services provided which are hosted, managed and operated by other parties. These services, applications and third parties may have their own privacy policies and/or terms and conditions of use, which we recommend you read before using any such services.
